Events Producer

Manages Development and Alumni Relations events, both on and off campus, that have a high level of visibility among Lehigh Alumni, students, parents and Friends of the University. The Events Producer works closely with the Senior Director, Associate Vice Presidents, Major Gift Officers and other support staff. The successful candidate will be responsible for ensuring that event objectives and messaging are tied to the University's mission on a variety of levels. As Lehigh moves into the public phase of a major fundraising campaign, the Event Producer will be involved in planning exciting and new events that will involve some level of traveling.

* Conceptualize and manage plans for event implementation; this includes determining efficient and effective activities required to achieve goals on a variety of levels

* Collect information from event owners and partners

* Oversee planning meetings with appropriate staff and stakeholders

* Create timelines, adhere to deadlines and ensure that others adhere to deadlines

* Develop budget forecasts

* Conceptualize program including participants and messaging

* Work closely with key stakeholders to help develop a strategic event plan

* Manage people and resources and integrate the activities of the plan to execute events

* Oversee printing and mailing of event invitations and materials

* Arrange site visits and select venues

* Review and sign venue contracts in collaboration with Purchasing

* Review work orders

* Determine A/V support required and hire vendor

* Select centerpieces, linens, chairs and other event props or equipment; ensure style and color are appropriate for the event objective

* Work with caterers to develop appropriate menus

* Secure and schedule volunteers

* Oversee invitation list management procedures

* Determine transportation, lodging and signage needs

* Conceptualize and create floor plans

* Identify and secure gifts and giveaways for guests

* Manage and direct on-site logistics

* Input and export data from the online registration database as needed

* Prepare and submit guest bios, briefings and event agendas for the President and Provost Offices

* Assist with preparation of name tags, registration lists, seating cards and other materials as needed

* Manages programming for several high level events

* Works with identified presenters in structuring key objectives, approaches and take aways relating to presentation

* Coaches presenters and works with them on final presentation remarks

* Determines timing and additional medium for use in event programs

* Helps identify venues both on and off campus

* Determines appropriate faculty, students and outside presenters for University events

* Develop and communicate messages to inform, motivate and educate Lehigh constituents

* Write event text for invitations both electronic and printed

* Create talking points for program participants in collaboration with stakeholders

* Design basic invitations working with Printing Services or outside vendor

* Order signage and assist with design

* Works closely with the team's administrative Coordinators

* Provide timely performance feedback

* Ensure staff has needed support to perform functions well

* Share event knowledge with others

* Propose new ideas to improve the event planning and implementation process

* Provide resource information to other campus departments and colleagues to help them plan events

* This position has fiscal or financial responsibilities other than employee expense activity, such as processing or approving transactions; monitoring or preparing budgets; or generating income for University

* Will often be required to walk, stand, sit, lift up to 10 pounds, climb or balance, stoop, kneel, crouch or crawl

* Will occasionally be required to lift up to 50 pounds

* Events require overtime both during the week and on weekends; the work load varies with the seasons; with fall and spring being the heaviest concentrations.

* Occasional evening, holiday or weekend hours

* Occasional travel to attend events

* Bachelor's Degree in Communications, Business Administration, Theater or related field required

* Three to five years related work experience

* Excellent communication and interpersonal skills

* Outstanding writing ability and organizational skills

* Solid analytical, decision making and problem solving skills

* Ability to complete projects on time and on budget, and report on status and progress

* Solid computer skills with experience using word processing and spreadsheet software

* Successful completion of standard background checks including but not limited to: social security verification, education verification, county and national criminal background checks, PATCH, FBI fingerprinting, Child Abuse Clearance. Based upon the requirements of the position Lehigh may also request credit history reports, motor vehicle checks and professional license/certification verification
