The Coordinator, Staffing maintains appropriate levels of nursing personnel throughout inpatient services based on patient census and acuity. Maintains accurate and complete records of budgeted nursing positions and daily staffing levels for each patient care area. Provides Nursing Administration with data required for ongoing evaluation of staffing levels provided for patient census and acuity. Assists in developing and maintaining nursing staffing schedules to ensure adequate personnel coverage for all three shifts.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Implements the process of "calling in"/"calling off" personnel as required by the staffing guidelines, patient census, acuity and activity levels.
Consults with the Nurse Manager, Team Leader, charge nurse or House Manager and assists in determining unit staffing needs, adjusting staffing to meet daily needs and/or changes schedules accordingly.
Accepts changes and transfers made by Nurse Manager to meet a particular need, and records such changes/transfers on schedules. Calls each unit to validate the day's staffing.
Provides staffing and summary census for each shift. Maintains and updates the four week staffing plan by entering schedules accurately and efficiently. Provides department with a four week staffing schedule in a time manner.
Maintains list of nursing personnel with current name, address, phone, professional classification, job title, work status, normally assigned work area, and other pertinent information. Maintains database and statistics for ongoing evaluation and analysis of positions filled, hires, terminations, vacant positions and registry usage.
Assists Information Systems in the development and monitoring of the Nursing Department's productivity reporting system, including manual procedure analysis and updates.
Maintains required records, reports and statistics, including automated scheduling system. Maintains professional files and contracts for staffing/nursing agencies and monitors agency salary costs per patient per day by unit.
Reviews data from the time and attendance system to ensure it is consistent with the staffing guidelines. Communicates with Payroll regarding paycheck discrepancies.
Obtains information and prepares forms for employee's leave of absence, termination, transfer, and other Human Resources action.
Administers and accurately tracks bonus programs and dollars. Maintains accurate records of budgeted nursing positions in conjunction with Nursing Administration and human Resources. Collaborates with nursing supervisors to verify projected staffing needs match with existing resources and maximize utilization.

Education and/or Experience
High School diploma or equivalent required. Two years of related experience or five years as a secretary/ administrative assistant.
Proficient in Microsoft Office software (Word, PowerPoint, Excel, Outlook).
Knowledge of ResQ and Shiftwise preferred. Typing skills of at least 50 WPM preferred.
